How to Set Up Email Addresses on your IPhone




To set up your email account on your iphone, follow these instructions. Before you start make sure you have the following:

  • Your email address
  • Your email password
  • The server where your email is hosted

Note that depending on which version of the iPhone OS you have, some options may be slightly different than what you see here, but the basic idea should be the same.

Add a New Email Account

Step 1: Add Mail Account

From the Home screen, click “Settings”, then “Mail, Contacts, Calendars”, then “Add Account
Now click “Add Mail Account”, then scroll to the bottom of the list and click “Other“. You will now need to click on “Add Mail Account

Step 2: Enter Account Information
Enter your name, your email address, and your password, then click Save. You do not need to enter a description.

IMAP or POP3?

Step 2: Choose IMAP or POP
Please find out from me if you are using POP or IMAP. Please discuss with me which you would like to use.
If you use an email program like Microsoft Outlook, as well as your IPhone, you’ll need to decide how you want your mail to arrive. If you choose IMAP, your email will synchronize between the iPhone and the server. If you delete a message on the phone, it will be removed from the server. If you then check your mail in Outlook, the message won’t be downloaded because it has already been removed.
If you use POP (also called POP3) on your computer, and you want to make sure you get a copy of every message you receive on both your computer and your iPhone, choose POP.

Step 3: Incoming Mail Server
Enter the details for your Incoming Mail Server. The Hostname will be pop3.hosts.co.uk or imap.namesco.net depending on which type of email you are using.
Username will be what I have provided to you (eg. yourdomainname.co.uk_info ) and a password will be required.

Step 4: Outgoing Mail Server
Host Name for a POP3 email account will be smtp.hosts.co.uk.
Host Name for a IMAP email account will be imap.namesco.net .
Username and password should be provided to you.

Step 5: Save
Once everything is complete the SAVE button will appear top right. Click this.

Step 6: Email Application
Now come out of the “settings” on your iphone and look in your MAIL application. You should be able to happily send and received mail on your account.

What are your Options for Business Email?




How will you handle receiving all your business emails, as well as your personal ones? Do you have to remember to check different email addresses? Kaydee lists your options, and makes it easy.

Once you have purchased your web site address, from Kaydee or elsewhere, you will also be able to run email along side it.

For example you purchase the address www.outdoorslove.com and therefore would be able to run email addresses along side it. For examplekelly@outdoorslove.com, or info@outdoorslove.com. Each would have to be set up on the server (I can help with that) and then you have different options on how you receive them.

Why would you even have ANOTHER email address? Firstly, running email addresses along side your website address looks a lot more professional for your business. Secondly, if you put your personal email address onto a website, you risk a lot of spam dropping into your INBOX without the ability to change it. Keep them separate and limit spam on your personal account.

Convinced? So what are your options now?

Bells and Whistles …

Kaydee can set up email accounts for you personally, or for your business that run along side your new web site address. You can choose exactly the address you want, as long as it coincides with the web address you have chosen. For example www.outdoorslove.com would be able to run email addresses along side it for example kelly@outdoorslove.com or info@outdoorslove.com.

I can then set these new email addresses up in your Email Client (Microsoft Outlook, Thunderbird, Outlook Express, Apple Inc’s Mail) where you can send and receive email and organise into folders, or on your handheld device.

The recipient will receive the email from your new account (eg. kelly@outdoorslove.com) giving a much more professional approach.

If you choose this option, you can still view your emails via webmail (as below), if you are out of the office.

Most small organisations would use POP3 email accounts, but IMAP can be set up for you if you are using a number of different machines.

IMAP email is kept on server, and would gain the following benefits:

  • No need to download all email when using other desktop PC to check your email.
  • Easier to identify the unread email.
  • Outgoing email can be filtered to a mailbox on server for accessibility from other machine.
  • Messages can be deleted directly on the server to make it more convenient to clean up your mailbox on the server.

Web Mail …

Web mail is where you are viewing your emails through a browser (like Internet Explorer, Safari or Google Chrome) as oppose to in an email client (like Outlook Express, Microsoft Outlook, Apple Inc.’s Mail). You can access these emails where ever you are in the world, as long as you have an Internet connection. You just navigate to a specific area on the Internet, and enter in your username and password. It is a lot like the HOTMAIL interface.

If you choose the “bells and whistles” option above, you can still view your emails via webmail, if you are out of the office.

Email Forwarding …

In this example your personal email address or old business email address is already set up as, say, iloveoutdoors@gmail.com.

Your new email addresses CAN forward to any other email address.. The email address Kaydee has set up (info@outdoorslove.com) can forward to, say, a gmail account (iloveoutdoors@gmail.com). It basic means the emails are being resent to the gmail account. This is extremely easy to set up and easy to access. The disadvantage of this is that when you reply the recipient will receive the email from your gmail account (iloveoutdoors@gmail.com).

Yes, with email forwarding all the spam would get resent to your iloveoutdoors@gmail.com address, but this does not mean that your gmail address is on the spammers list. Generally, it would be the address you use on your website that is a target for spammers. If you STOP the forwarding you would STOP the spam coming to your gmail account. But only from those that collected your address from your website (info@outdoorslove.com). Cancelling the forwarding would not stop all spam on your personal account.

How to Write Copy for your Website or Blog




A search engine cannot see the pretty design of your site, a search engine will trawl the raw code within your page – and that includes the copy you write.  Keywords are words that people might type into a search engine to find a site likes yours.  Choosing good keywords and including them in that copy is really important.

Keywords versus Keyphrases

You must consider which keywords visitors to your website will use to find it. Then incorporate them into the copy. “Key phrases” are phrases made up of those words.

Think about how many websites might contact the keyword “bike”.  There would be millions, in many different countries all across the world.  That is why we now use keyphrases, or long-tail keyphrases.  The customer that you want is much more likely to type in “mountain bikes oxfordshire” then they are to type just the word “bike”.  So do think about being specific and about localisation.

If your site is to do with mountain biking the key phrases could be: mountain biking oxfordshire, mountain bike shop cotswolds, expert mountain biker, and hill biking cotswolds.   Choose 2 – 3 key phrases for each of your web pages.  Stick to them, and try to repeat the key phrase (although not too much, as you can get penalised for this too).

Tips on Keywords

  1. Write a list of as many single words and short phrases as possible that describe your business, your service and your products plus any other information you think is important. List the words that users would type into a Search Engine when trying to find a business like yours.
  2. Choose 2 -3 key phrases for each of your web pages.  Make sure they are different, but relevant.
  3. Search Engines look for exact keywords, they don’t know that a word might also mean something else. If you really want to be listed under the key phrase of “mountain bike shop “, then that specific and exact phrase must appear repeatedly throughout the copy on pages of your site. Be sure it is included in the first paragraph, in the first sentence if at all possible.
  4. From the keyword lists you have chosen for your site, pick a primary and a secondary keyword that you want to rank well for.
  5. The first paragraph should be a summary of the page and should include both primary and secondary keywords.
  6. Include keywords in the last paragraph.
  7. Headings and subheading should contain keywords, where possible.
  8. Linking text should be keyword heavy. This could mean links to other pages in your website, or links to other websites.
  9. If you are location based, then do make sure you let your customers know you are in say “Oxfordshire”, or in the “UK”.
  10. Make the key words and phrases specific to your business : do not list anything which is irrelevant. For example, your bike shop might be family run but users would not directly search for that.
  11. Include keywords in your domain name. Perhaps you’ve found that “biker” is your most effective keyword. You might try to get a domain name such as mountain-biker.com or biker-shop.com. Including keywords in your domain name gets you credit with the Search Engines.
  12. There are online tools which can help you determine the most useful key words for your business:

It is a good idea take a look at your web stats a month or two after launch to see which keyphrases are working.  Every month the website can be tweaked, and better phrases used.  Also consider that trends change.   One minute people may be searching for “orange mountain bikes”, then next month “giant mountain bikes” may be more popular.

A blog is all about your ability to interact with your audience, who are ultimately your customers. A website is a place where those customers go to find information, quickly and easily, or buy from you. The blog gets the surfers attention and will direct them over to your website, letting them see what you have to offer.

A blog will consist of posts (in chronological order or in categories) written by you, your employees or colleagues about your business, or things that are connected to your business.

Blogs make it easy for visitors to add comments to your posts - real, topical comments and they will interact with you and with other customers. Encourage comments and opinions. Even bad feedback can be handled well, and a response from you will mean that you care. You can control which comments are viewed by the public.

Case Study

Take a shop, selling shoes. What are their customers interested in? What types of shoes do they sell? Are they shoes that are good for your feet; there is one good post. Fashion? Winter shoes, Summer shoes. What shoes are more favourable to walk around in, on a city break? What shoes go with a dress, trousers, for work, for a power meeting, trainers for running, fashion trainers . . . there are so many posts based around one item.

The shop owner might write a post about running trainers. Help your visitor choose a good pair, a middle of the road pair or a cheap pair. Compare them. Do you love the smell of a new pair of trainers, or checking what they look like as soon as they come into the shop? What are runners interested in? They are not just interested in the trainers. Give them a good local track to run around with their new trainers on, bought from your shop. What about food? Healthy food for runners. Looking after their feet. The possibilities are endless.

WRITE ABOUT THE PASSIONS YOU FEEL FOR YOUR BUSINESS! You might think no one is interested, but people will buy from you if they know you love your field.

And within each of your posts you will need to link through to your website: eg. “Love running? We have the latest NIKES coming in … click here“. This will push the traffic over to your site.

Videos, photographs and interesting content will all help your blog. You can even ask people to subscribe to an RSS feed, where they will be able to keep up to date with the posts you put on.

What is Bounce Rate?




When taking a look at your website statistics, or Google Analytics, you may wonder what Bounce Rate actually means?

Bounce Rate refers to the amount of times visitors have arrived at a page (landing page) on your website, and then left on that same page.  It is a good way to measure “visitor quality”.  If your results show a high bounce rate then your page is probably not relevant to the visitors.  Think about different keywords and search terms and use them in the text of your page.  This way you will bring the right visitor on to your pages, and turn them into customers.

Email Signatures in Outlook




Create an Email Signature in Outlook 2003

Setting up your email signature in Outlook 2003:

  • Open OUTLOOK
  • Click on Tools then Options from the menu the top.
  • Click the Mail Format tab.
  • Click Signatures under the heading Signatures then click NEW
  • Give your signature a name, for future reference.  I call mine “kaydeeweb”.  Then click Next.
  • Type your new email signature in.   (You can use the Font and Paragraph buttons to change the font type, colour and the size.)
  • Click Finish then OK.
  • Outlook will make the first signature you create  your “default” signature and it should be automatically added to new email messages. To use it for replies as well, which I recommend, select it under Signature for replies and forwards.  Then click OK again.

  • Open OUTLOOK

How does the Google algorithm work?




An algorithm is basically an instruction to something (a computer) or someone that helps to solve a specific task.  An algorithm is the process by which you solve a problem.

Googles “freshness” update

The Google search algorithm is the way in which Google takes your search and produces the results, on a search page.   These days Google delivers more up-to-date and relevant search results.    The Google method can now analyse the web in small portions and will update it’s search index on a continuous basis.

What is so clever about the new Google algorithm is that it realises that different types of searches will have different “freshness” needs, and therefore will list them differently. Take a search for “a good Cotswold walk” which was posted a few years ago – it might still be popular enough to be ranked highly, but searches for a breaking news story should list the newest content first, followed up by the older results.

When searching on Google, even if you don’t use keywords that indicate you’re interested in the most recent event, Google takes over and will list the newest for you.  Some are up to only a minute old.   We used to have to wait what felt like FOREVER for Google to update it’s search results.

How does this effect your small business on Google?

Your website and your blog need FRESH content and need to be updated regularly, more so now than ever before.  Old content will drop down the search pages.  A blog will enable you to update content yourself and push people over to your website.  Or just ask me to review your latest newsletter and pop it onto your site.

By now you must realise that by posting  a lot of copied text you will not get good rankings from Google.   If you are struggling, there are freelance writers out there who can help you in this respect, but you also need to research some good keywords that will help you get the right readers.

Can you build your own website?




Well the absolute answer is yes!  Of course you can build your own website.  There are loads of packages out there these days that give you a template that you can customise, make it corporate and add pages to it.   Hurray!  You have made your own site.

But more often than not you will come to me to ask why it is not doing well on the search engines, or your have forgotten how to add a page, or upload a photograph, because really, your time is taken up with your business and what you do best.

I am sure I could figure out how to re-hang my front door.  But would I do it?  No.  It would be slightly wonky, let the wind in, warp in the weather, not lock properly …  an endless list of things that could go wrong just with a door.

I am not saying you shouldn’t build your own, but just be careful.  A website should be written correctly and look professional.  Something that you might be very proud of, could look very shoddy to your customers and will not encourage them to buy from you.

New! Facebook Ticker – What is it all about?




The Ticker is basically an unfiltered News Feed feature.    You can see the TOP NEWS in your feed as normal.  ”Top news” being the updates of people you have interacted with/looked at recently.  The people you do not interact with slide down a list and you will hardly see their updates.    You used to be able to click on “MOST RECENT” and a news feed of latest updates would come up.  The Ticker replaces that.

If you click on a story you see going by in the Ticker, and you click on it then a window pops up allowing you to comment on the story.

It is a way of Facebook getting you to interact with your “other” friends more.  You know, the ones you don’t speak to on Facebook… What do you think of the Ticker?

Facebook adverts alert: Daily spend limit increased




A couple of my clients received the same message from facebook over the weekend.  In my haste, being a weekend, I thought that it was SPAM.  I checked the accounts, making sure that the budget was capped, and then noticed the daily spend limit HAD increased.  This IS a message from facebook – although it could be worded better.

I have clicked on all the links, checking they are legitimated. They are.

Facebook Advert Spend Limit

Your spend limit is how much you are allowed to spend with facebook per day.  Meaning you are now a trusted user!   This is great for larger companies who do want to spend this amount.   It means that ultimately you can get more traffic to your page, meaning more likes.

To avoids payment problems, Facebook starts from low limit daily spend like £50. By paying each invoice immediately you reach higher daily spend limits, and this is automatically reviewed by facebook.

Facebook adverts are paid for each month via the credit or debit card that you have submitted.  Make sure you pay every invoice on time by keeping money on that card, and not letting your ad campaign run away with you.

Facebook Advert Budget

Facebook advert budget is very different from the spend limit.  This is the amount you have entered in as a cut off point.  Once your facebook ad has “spent” your daily budget, the ad will simply disappear from facebook.   This ensures you cannot over spend.

To check your spend limit visit the Facebook Adverts Manager.
